Office Coordinator

The Role

We are seeking a reliable and organized Office Coordinator to join our team full-time, working onsite in downtown Toronto. The ideal candidate will have strong administrative and management skills, excellent communication, and the ability to multitask in a fast-paced environment while maintaining confidentiality and professionalism. The position reports to the Director of Operations.

Key Responsibilities

•Launch smooth onboarding and offboarding experiences, from system access to workspace setup.

•Keep operations running seamlessly by tracking projects and updating protocols.

•Drive payroll processing with accuracy and maintain confidential HR files with care.

•Be the go-to first point of contact, creating a polished and welcoming office experience.

•Keep the office looking sharp and fully equipped, with meeting spaces always clean, organized, and tech-ready.

•Own vendor relationships—booking service calls, tracking progress, and keeping everything on schedule.

•Coordinate calendars and meetings with precision, including agendas and follow-ups.

•Run seamless meetings by managing catering, AV equipment, video calls, and materials.

•Draft and proof crisp internal and external communications.

•Bring energy to office culture by helping plan events, team-building activities, and campaigns.

•Create professional documents, reports, and presentations using modern tools.

•Support website updates—from team profiles to job postings and announcements.

•Keep internal communications clear, organized, and easy to navigate.

•Oversee daily office flow, including mail, courier packages, phone calls, and email inquiries.

•Manage fax tracking, inventory levels, and office supply orders.

•Responsible for birthday shoutouts and quick culture boosts that keep the team connected.

Requirements:

•1–3 years of office coordination or management experience preferred

•Strong organizational, multitasking, and time-management skills

•Excellent written and verbal communication skills

•Discretion and ability to handle confidential information with integrity

•Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). LEAP an asset

•Experience with calendar management and scheduling tools

•Familiarity with document management systems (e.g., Primafact) is an asset

•Comfortable coordinating events and liaising with vendors

•Ability to work independently and collaboratively in a fast-paced office environment

•Detail-oriented with strong problem-solving skills

•Customer service management an asset

•Must be available to work full-time, in the office 5 days/week.
